• Enquiries: your name, email, telephone number, project location or postcode, service requirements, correspondence and any photographs or documents you choose to provide.
• Business contacts: company name, business website, publicly listed business email, telephone number, address, company registration information, relevant project information and our correspondence. Sources include Companies House, official company websites, permitted search services and public procurement notices. We record source information.
• Website operation: hosting and security services may process technical information such as IP addresses and request logs to deliver and protect the website.

Please do not send unnecessary sensitive personal information. Public planning information is used as project intelligence; it is not treated as permission to market to homeowners.

We use enquiry information to respond to requests, discuss roofing requirements, arrange surveys, prepare quotations and provide services. The relevant basis is taking steps at your request before a contract, performing a contract, or our legitimate interests in handling business correspondence. Where a legal obligation applies, we may retain the necessary records to meet it.

For relevant introductions to verified corporate businesses, our purpose is to offer roofing and subcontracting services. Where personal data is involved, we assess our legitimate interests, relevance and the likely impact before contacting a business. A published address does not automatically make a contact eligible. Sole traders, individual subscribers and homeowners are not automatically added to unsolicited email campaigns; the necessary permission or applicable exception must be documented.

Submitting an enquiry does not subscribe you to marketing. Any optional marketing consent is separate, and you may withdraw it at any time.

Reply unsubscribe or stop to a marketing email, or email info@alphashieldroofing.co.uk. We record objections, suppress further marketing and cancel automated follow-ups. Our website enquiry form uses Web3Forms to deliver submissions. We use Zoho Mail for business email, Cloudflare for website delivery and security, and our own customer management system. Authorised staff may receive enquiry and correspondence notifications through a private Telegram review channel. These services process information needed for their functions. We do not sell contact information.

AI assistance may help prepare research summaries or draft responses only when an appropriately configured service is enabled for that purpose. Incoming content is treated as untrusted data. A person must approve responses to correspondents; AI cannot agree prices, contractual terms or project start dates. Trial-only AI services are not enabled for real customer processing.

Some service providers may process information outside the UK. Where a restricted international transfer applies, we must use an applicable adequacy arrangement or appropriate contractual safeguards. You can contact us for information about the providers and arrangements relevant to your information.

Our default CRM review period for inactive enquiries and prospect information is 12 months. We review whether information is still needed; deletion of business prospect records may require manual action. Active projects, quotations, contracts and accounting or dispute records may need longer retention for their purpose or legal obligations. Suppression records are retained as needed to respect marketing objections. Copies in backups are subject to the backup retention cycle.

Depending on the circumstances, you may ask to access or correct your personal information, erase it, restrict its use, receive portable information, or object to processing based on legitimate interests. You may object to direct marketing at any time. If we rely on consent, you may withdraw it without affecting earlier lawful processing.

We do not include advertising tracking pixels in our business outreach emails.
